Recruitment Privacy Policy

A reference to Temenos may be to the local entity in the country where you are based or in the country where you are applying for a job. Each Temenos entity needs to comply with the applicable privacy legislation of the jurisdiction in which it is established. For Temenos entities established in the European Economic Area, Temenos needs to comply with the General Data Protection Regulation (“GDPR”).

The aim of this policy is to describe how any personal information that Temenos collects or holds from or about candidates is used and to whom this information may be disclosed.

We will ensure that the information you submit to us via our website, direct emails and correspondence to any Temenos entity and also via any third party websites (including but not limited to LinkedIn), and also through recruitment agencies or through any of our offices is only used for the purposes set out in this Policy.

If we consider it useful, we also may provide you with additional relevant and timely information when we collect personal information.


The Information We Collect

When submitting an application for a position at Temenos, asking a recruiter to do so on your behalf or providing your personal details including but not limited to: your name, contact details, email address, your interest and aspirations, name of Temenos employee referring you, and Curriculum Vitae (CV), you are requesting Temenos to consider you for a role at Temenos and Temenos will hold, use and process that personal information in accordance with the terms of this Policy.

Please do not include any sensitive data as part of your application, i.e. information relating to your racial or ethnic origin, political opinions, religious beliefs, trade union membership, health status or sexuality as well as information regarding criminal convictions. If we do require this information in connection with your application, we will inform you separately and obtain any necessary consents or acknowledgments.

If you send us a link to your LinkedIn Profile, we will access your profile in accordance with the terms and conditions of LinkedIn.

Please ensure you have permission from the Temenos employee or any other referee whose details you provide alongside your application for us to use their data as outlined in this Policy.

Verification and Staff Checks: it will be necessary for us to verify the details you have supplied (for example in relation to your identity, academic credentials or your employment history) and for some positions, to carry out pre-employment checks (for example in relation to previous criminal convictions or an adverse financial check). The level of required checks will vary by position and will usually be conducted at as late a stage as is practicable in the recruitment process and often only after you have been selected for the position. If your application is successful, we will provide further information about the checks involved and will obtain any necessary consents or acknowledgments prior to completing such checks.

We process your information for the following purposes:

  • As required to establish and perform the employment contract. This includes processing your application for a specific job.
  • As required to enable our business and to pursue our legitimate interests where our interests are not overridden by your data protection rights. This includes: to make informed decisions on recruitment and ensure your suitability for the role or to keep you in mind for future roles; answer your enquiries; improve our recruitment processes and activities; manage our IT systems; and to conduct group administration.
  • In order to comply with applicable laws and protection of our legal rights including but not limited to, use in connection with legal claims, compliance, regulatory investigative and disciplinary purposes (including disclosure of such information in connection with legal process or litigation). This includes verifying that you have the right to work in the country where your role is based.
  • As mentioned above, we may also ask for your consent (where required under applicable law) to carry out certain verification and staff background checks where this is required in connection with your role.

Disclosure of Your Information

Your information may be shared between Temenos group companies in connection with the uses referred to above including outside of the European Economic Area and Switzerland.

When you register in a country, your personal information will be accessible to the HR managers and relevant line managers in the geographic region where the role you applied for is located (which could mean outside the country where the role is located, including outside of the European Economic Area and Switzerland). For instance, the line managers for some of our European IT development roles are based in India.

Temenos also uses a group company in India to provide shared services including HR administration support and records management. Personal information transferred outside the European Economic Area and Switzerland is adequately protected by EU Commission approved standard contractual clauses.

If you indicate you would like us to consider you for other suitable roles, your data may be accessible or transferred or duplicated to relevant HR managers and line managers in our offices globally and the local Temenos entities for those offices (our regions are: Europe; Middle East and Africa, Asia Pacific; Latin America; North America and the Caribbean) for the purposes set out above.

Temenos may also share your information with government authorities and/or regulatory or law enforcement officials if required for the purposes above, if mandated by law or if required for the legal protection of our legitimate interests in compliance with applicable laws.

Temenos may also pass your personal information to other third parties for the purposes outlined above including but not limited to trusted third parties which Temenos uses as part of the recruitment process such as for background checks, psychometric tests, grade point average tests or assessment tests.

Temenos may use third parties who perform services on our behalf such as professional advisors and IT consultants carrying out management of our IT systems. All these third parties comply with similar undertakings of privacy and confidentiality as Temenos.

In the event that we are sold or integrated with another business, your details will be disclosed to our advisers and any prospective purchaser’s adviser and will be passed to the new owners of the business.

At your request, we will also provide information to third parties such as banks, building societies and prospective employers to whom you have asked us to provide a reference.

Retention of Your Personal Information

Your details will be deleted for the Temenos recruitment systems after 2 years (or earlier depending on the local law) from the date you submitted your details to Temenos. If you are unsuccessful most information will be deleted after 6 months but we will retain your name, contact details, LinkedIn ID, and information about your skills and areas of work which are suitable or of interest to you for up to 2 years for the purpose of matching you with future job opportunities in the Temenos Group. You can request that we stop holding your details for this purpose at any time by contacting us, see the Contact Us section below.

How We Protect Your Personal Information

We will use appropriate physical, technical and procedural security measures which are designed to ensure that any processing of personal information is in accordance with applicable law and this policy and to prevent personal information from being accidentally lost, or used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to do so.

Updating Your Information

You can update your CV at any time by following the same procedure to submit a new CV.

You can request that we delete or erase any of your data in our recruitment system at any time by contacting us, see Contact Us section

Your Rights

Where applicable, you may have certain rights under GDPR or local legislation in the EEA, including the right to ask us for a copy of or update the personal information held about you as well as obtain supporting explanatory materials. You may ask us to make any necessary changes to your data ensure it is accurate and up to date or ask us to transfer it to other organisations at your request in certain circumstances. You may also have rights to object to some processing and where we have asked for your consent to process your data, to withdraw your consent. Where we process your data because we have a legitimate interest in doing so, you may also have the right to object to this. These rights may be limited in some situations – for example, where we can demonstrate that we have a legal requirement to process your data.

Outside the EEA, where applicable, we will comply with any similar rights you may have in your country under local legislation to access and correct/update your data.

Changes to Our Privacy Policy

Any changes we make to our Recruitment Privacy Policy will be posted on this page. If we change this policy in a material way, we will notify you of this and, if required by applicable local law, we will obtain your consent.
